You are the first point of contact, both at the reception and by phone: you welcome (international) clients, faculty, and guests at the reception and inform staff of their arrival. You also ensure that guests, employees, and students comply with the house rules.
You support the management of the building and its equipment: you prepare and set up classrooms and meeting rooms for use. You organize workspaces, identify malfunctions and defects, and contact external service providers to resolve them. You supervise external service providers to ensure issues are properly addressed according to contractual agreements. You may also carry out minor repairs yourself.
You manage inventory and handle logistics: you monitor and control stock, keep track of its distribution, and place orders if needed in consultation with the Facility Manager.
You perform administrative tasks: you sort and process mail, handle facility-related emails, and provide administrative and organizational support for specific events. You also ensure a careful handover to student assistants who continue facility tasks during evenings and weekends.
You carry out emergency response tasks: performing first responder duties (BHV) in case of emergencies.

Receptionist/Assistant Facility Management
TIAS is a business school offering a wide range of degree programs, non-degree programs, and executive education learning paths. We are immediately looking for an Assistant Facility Management to carry out support tasks in a customer- and service-oriented manner. You will perform reception duties and, together with the facility team, be responsible for maintaining a presentable, safe, and orderly environment in the TIAS building. For this position, we are looking for someone who is available on Wednesday afternoons, Thursday, and Friday.
You are a presentable and service-minded colleague who enjoys exceeding visitors’ expectations with enthusiasm and positive energy. You are proactive and always one step ahead in anticipating the services our visitors need to study and work without concerns. Thanks to you, every student, staff member, and guest feels completely at home at our location in Utrecht.

Desired profile
We are looking for a candidate with an MBO-level education and thinking ability and at least 3–5 years of experience in a similar role. You are quality-oriented, perform well in a commercial and fast-paced environment, and place great value on hostmanship. You have a positive attitude, are flexible, and highly helpful. In addition, you possess strong communication skills in both Dutch and English. Finally, you are certified in BHV (Dutch emergency response) or willing to obtain the certification, and you are able to perform some physical tasks.

Wednesday: 13:00 – 17:00
Thursday and Friday: 07:30 – 17:00
